Volunteer Hours Tracker

A public, no-sign-in form where volunteers report hours worked on a project, plus a signed-in coordinator area to manage projects, review and approve or reject hour reports, and see verified totals per project and per volunteer. Only approved hours count toward totals.

Volunteer

A community volunteer who is not signed in and only fills in and submits the public hours form.

The nonprofit staff member who signs in, manages projects, reviews hour reports, approves or rejects them, and sees verified totals.

Submit hoursThe volunteer enters their name, picks an active project, and submits the date worked, hours (at most 12), and a short note. The report starts as Pending.

Outcome: A Pending hour report is submitted for coordinator review without any sign-in.

Sign inThe coordinator signs in to reach the coordinator area.

Open the reports listThe coordinator opens the Reports page and filters by status or project, spotting flagged duplicates.

Approve or rejectThe coordinator approves or rejects each report, optionally changing hours (at most 12). Changing approved hours records an edit entry.

Outcome: Each report is approved or rejected, with any hours changes recorded, so only approved hours count toward totals.
